Under the direct supervision of the Director of Financial Aid, the Assistant Director of Financial Aid is responsible for ensuring the college and financial aid department are in full compliance with the standards set forth by the Department of Education for the administration of the Federal Student Aid and state aid programs. This position provides operational leadership for the daily administration of financial aid, ensuring timely, accurate, and compliant execution of all financial aid processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Oversee and execute all Return of Title IV (R2T4) calculations in accordance with federal regulations, ensuring accuracy, timeliness, and compliance.
  2. Manage the packaging of federal, state, and institutional financial aid, ensuring awards are aligned with regulatory and institutional guidelines.
  3. Assist with preparation for internal and external audits, ensuring all records and reports meet compliance standards.
  4. Identify and implement database elements, queries, and reports. Monitor aid programs, conduct audits, and resolve eligibility discrepancies.
  5. Serve as acting department lead in the absence of the Director, managing departmental functions and acting as the primary point of contact for staff and college stakeholders.
  6. Develop and deliver financial aid training for staff and campus partners, providing ongoing guidance and technical support to ensure consistent and accurate application of policies and procedures.
  7. Collaborate with the Director to interpret regulations and lead annual system setup and testing ensuring timely implementation, clear communication, and effective staff readiness.
  8. Develop, maintain, and update departmental policies and procedures. Research and analyze federal and state regulations and recommend policy or process changes to ensure ongoing compliance.
  9. Assist in the preparation and submission of required federal, state, and institutional financial aid and scholarships reports, including IPEDS, WISSIS, FTV/Gainful Employment, and FISAP.
  10. Supervise and evaluate financial aid staff, providing leadership, coaching, and support to promote performance excellence and professional development.

Minimum Qualifications

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Working knowledge of financial aid regulations and eligibility requirements.
  • Knowledge of policy development, documentation, and implementation within a regulated environment.
  • Proficiency in using technology and data tools, including databases, spreadsheets, and reporting tools, to support compliance, decision-making, and continuous improvement.
  • Ability to develop and maintain effective working relationships with students, staff and the public
  • Ability to communicate effectively both orally and in writing with students/parents, external agencies and other staff
  • Ability to organize and prioritize work and maintain accurate and detailed records
  • Ability to analyze and articulate financial aid related calculations, including eligibility, awarding, and regulatory adjustments.
  • Ability to resolve problems within an area of responsibility
  • Ability to work in a team environment as well as independently with minimal supervision

EDUCATIONAL AND EXPERIENCE REQUIREMENTS:
  1. Bachelor’s degree in computer systems, business administration, education or related field
  2. Three (3) years of financial aid experience.

Supplemental Information

The Assistant Director-Financial Aid supports the Financial Aid Office and is available to start on or before June 1st.

Hours
Hours are generally Monday through Friday 8:00 a.m. to 4:30 p.m.
